Privacy Policy

This policy explains what information this website collects, why, and the choices you have. It applies to jamesrobertsmentalwellness.com only. It is written in plain language on purpose. If something is unclear, please ask.

Who I am

This website belongs to James Roberts Mental Wellness LLC, the private practice of James Roberts, a Licensed Clinical Social Worker in Florida (license number SW27230). I provide therapy by telehealth to people in Florida. This website is a place to learn about my practice and to reach me. It is not a client portal, and no therapy happens through it.

Minimum necessary

I follow a minimum necessary approach. This site asks for, keeps, and shares only the smallest amount of information needed to do the job at hand, and nothing more.

  • The contact form asks only for your name, your email address, an optional phone number, and a short message. It never asks about your health, diagnosis, insurance, or date of birth.
  • Messages are sent to my inbox. The website itself does not save a copy of what you type.
  • Visit statistics are set up so they never receive what you type into the form.
  • There are no advertising trackers, no ad networks, and no selling or renting of information, ever.

Please do not send health information through this site

The contact form and email are not HIPAA secure channels. Please keep your message short, for example “I would like to schedule a consultation,” and leave out details about your mental or physical health, or anyone else’s. This website is not for emergencies. If you are in immediate danger, call 9-1-1. For a mental health crisis, call or text 988.

What this site collects

  • Contact form. Your name, email address, phone number (only if you choose to add it), and your message. They are emailed to me so I can reply.
  • Spam protection. The form uses a hidden spam trap and Cloudflare Turnstile to check that a real person is sending it. Turnstile looks at basic signals from your browser. Most of the time you will not notice it; now and then it may ask you to tick a box. Cloudflare uses this only to tell people from bots.
  • Visit statistics. This site uses Google Analytics to count visits, see which pages are helpful, and note when someone taps a phone number or sends the contact form. It uses cookies to do this. Google Analytics does not log or store IP addresses. Advertising features and Google signals are turned off, and nothing you type into the form is sent to Google.
  • Server logs. My hosting provider and the site’s security firewall record basic technical details such as your IP address, browser type, the pages you visit, and the time of your visit. I use these only to keep the site running and secure.
  • Accessibility menu. The UserWay accessibility menu loads only if you open it. Once you do, the settings you choose, such as text size or contrast, are saved in your browser so they are remembered next time.
  • Verification badge. The “Verified by Psychology Today” badge at the bottom of each page is loaded from Psychology Today, which receives your IP address so it can show the badge.
  • Fonts. The site’s fonts are delivered by Google Fonts, which receives your IP address so it can send the font files to your browser.

How I use your information

  • To reply to your message and help you with next steps, such as booking a session.
  • To keep the site working, secure, and accessible.
  • To understand, in general numbers only, which pages people find helpful.

I do not sell your information, and I do not share it with anyone for marketing.

Who can see it

Only the companies that make this site work, and only as far as their job needs: my web hosting and email provider, Google (visit statistics and fonts), Cloudflare (spam protection), Psychology Today (the verification badge), and UserWay (only if you open the accessibility menu). They may use it only to provide their service to me. I may also disclose information when the law requires it, for example in response to a valid legal request, or when Florida law allows or requires me to act to protect someone’s safety.

Health information and HIPAA

If you become my client, your health information is protected under HIPAA and Florida law. Scheduling, records, and clinical communication happen in secure systems built for health care, never through this website. The same minimum necessary rule applies there: I use and share only what is needed for your care, for payment, and to run my practice, or what the law requires.

How long I keep it

I keep contact form messages only as long as I need them to reply and follow up, and I delete them when they are no longer needed. If you become a client, what is needed for your care becomes part of your clinical record, which I keep for as long as Florida law requires. You can ask me to delete your messages at any time.

Links to other websites

This site links to outside services such as Headway (for booking), Spruce, the 988 Lifeline, the Florida Department of Health, and social media. Those sites have their own privacy policies, and I am not responsible for how they handle your information.

Children

This site is not directed to children under 13, and I do not knowingly collect information from them. If you believe a child has sent me information, please contact me and I will delete it.

Changes to this policy

If I change this policy, I will update the effective date at the top of the page. Significant changes will be noted here.
